We keep your data safe and private. This page explains what we collect, why we collect it, and how we protect it — in plain English.

• • Your name and email — so you can log in and we know who logged what.
• • Photos you take of issues, hazards, and work areas.
• • Notes and details you type when logging an issue.
• • Voice notes if you choose to record them.
• • Your company name — so your data stays separate from other companies.

• • To track and manage issues, hazards, and safety on your site.
• • To sync your data to your own Google Sheet so you have a backup.
• • To use AI to help identify issues from your photos.
• • To show your team what needs fixing and what's been done.

Vanguard 35 uses a third-party AI service to help analyse photos, identify hazards, suggest fixes, and answer questions about your site. Before any data is shared with the AI service, you will be asked for your explicit consent.

• • What is shared: The photos, notes, and descriptions you provide when using AI features (e.g. hazard analysis, SOP generation, the AI assistant) are sent to the AI service for processing.
• • What is NOT shared: Your name, email address, and password are never shared with the AI service.
• • Purpose: The AI processes your data only to generate the analysis, suggestions, or answers you requested. The data is not used for advertising or shared with any other third party.
• • Consent: You will see a consent dialog the first time you use an AI feature. You can decline — the rest of the app will still work.
• • Withdraw consent: You can withdraw your AI consent at any time from your Account Settings.

Vanguard 35 requests access to the following device capabilities. Each permission is only used for the specific purpose described below.

• Camera: Vanguard 35 uses the camera to capture photos of hazards, site issues, and risk assessment scans so your team can document and resolve safety concerns on site. For example, when you log a hazard report, the app opens the camera so you can photograph the unsafe condition.
• Photo Library: Vanguard 35 accesses your photo library so you can attach existing photos of hazards, issues, or site conditions to your reports. For example, if you took a photo earlier, you can select it from your library when creating an issue.
• Microphone: Vanguard 35 uses the microphone so you can record voice notes describing hazards and site conditions for your safety reports. For example, when filing a hazard report, you can record a spoken description instead of typing.

Permission is requested only when you take an action that requires it, and you can decline at any time. Denying any permission will not prevent you from using the rest of the app.

• • Your data is tied to your company — other companies cannot see it.
• • Only people you invite can join your company and see your data.
• • Access is controlled by roles — Public, Collaborator, and Admin.
• • We never sell your data to anyone.

If your company opts in, we pool anonymised, aggregated statistics with other opted-in companies in your sector to create industry-wide benchmarks.

• • No identifiers: Company names, site locations, and asset serial numbers are stripped before any AI processing.
• • Purpose limitation: This data is used only to improve industry-wide safety and efficiency.
• • Never sold: We never sell benchmark data to competitors or use it to expose business secrets.
• • Opt-in only: Your data stays private unless an admin explicitly turns on benchmarking.

Your Rights

• • You can ask to see all the data we hold about you.
• • You can ask us to delete your data.
• • You can stop using the app at any time.

Terms of Use

• • Use the app honestly — log real issues, not fake ones.
• • Don't share your login with others — invite them properly instead.
• • You are responsible for the photos and notes you upload.
• • We may update these terms — we'll tell you if we do.
